UnityAI, a Nashville-based health technology startup, has developed an agent-driven artificial intelligence platform designed to modernize workforce scheduling by dynamically aligning staffing levels with real-time patient demand.

Its platform, StaffOps, is currently deployed across roughly 120 care sites, where it supports scheduling operations for a growing number of clinical organizations. By integrating directly with electronic health record systems, the AI-driven tool links workforce management with live patient data to minimize appointment cancellations, enhance patient flow and improve overall labor efficiency, according to company executives.

The system allows healthcare organizations to continuously adjust staffing based on up-to-the-minute appointment activity, cancellations and shifting patient volumes.

Initially, UnityAI focused on building AI agents to support administrative tasks such as appointment scheduling, confirmations, patient intake and follow-ups. Its voice-enabled AI tools were also introduced to assist outpatient clinics by handling inbound calls and engaging with patients.

Founded in 2023, the company is centered on improving healthcare operations, said co-founder and CEO Edmund Jackson. He explained that the company’s primary objective is to optimize scheduling, emphasizing that healthcare delivery fundamentally revolves around matching a patient with a clinician at the right time and place.

While early efforts concentrated on ensuring patients were appropriately scheduled, Jackson noted that workforce alignment represents the other half of the challenge. This includes not only physicians but also technicians and support staff, all of whom must be positioned effectively to meet fluctuating demand.

He stressed that patient access and experience should be tightly integrated with staffing strategies rather than treated as separate operational concerns.

Traditional staffing models in healthcare often rely on fixed schedules and predetermined shifts, which fail to take into account the variability of patient demand that can change daily or even hourly. This mismatch frequently results in inefficiencies, such as overburdened clinicians in some areas and underutilized capacity in others, alongside frequent appointment disruptions.

StaffOps addresses these challenges by connecting with both EHR and human resources systems to provide real-time visibility into scheduling data, including cancellations and rescheduling activity. This enables healthcare organizations to align staffing decisions with actual patient needs rather than static forecasts. 

By continuously synchronizing workforce availability with patient demand, the platform supports a more flexible staffing model that can improve throughput while reducing unnecessary labor costs.

According to Edmund Jackson, the platform evaluates multiple variables, such as staff credentials, availability, preferences and patient scheduling data, to generate optimized staffing plans based on defined constraints. It also allows managers to make real-time adjustments for exceptions like time-off requests or shift changes. The system is particularly suited for multi-site organizations, offering a centralized view across locations rather than managing each facility in isolation.

StaffOps also functions as a self-service platform for both frontline workers and administrative leaders. Clinicians and staff can manage their schedules more easily by requesting or swapping shifts and submitting time-off requests through a single interface, reducing administrative friction. Meanwhile, managers gain enhanced visibility into workforce gaps, enabling faster responses to staffing shortages and helping maintain continuity of care while limiting appointment cancellations.
